This policy explains what we collect when you use brand.OS, why we use it, how long we keep it, and the rights you have over it.
Who we are
brand.OS is a product of nine yards unipessoal lda (trading as nineyards), a company registered in Portugal under tax number (NIF) 516842170. We are the data controller for the personal data described in this policy.

What we collect
- Intake details: your company or brand name, your name, your work email, and your role (optional), submitted when you start a brand system.
- Interview content: the answers, notes, and any materials (website URL, pasted text, uploaded files) you provide so we can build your brand pack.
- brand.word leads: the website URL and email you submit to the free llms.txt tool.
- Usage and device data: basic analytics about how the site is used (see Cookies below).
Why we use it
- To provide the service: run the interview, generate your files, deliver them, and support you. This is necessary to perform our work for you.
- To promote nineyards: we store your information for our own commercial purposes and may contact you about nineyards products and services. This is our legitimate interest, and you can opt out at any time (see Marketing).
- To improve the platform: understand usage and fix problems.
Marketing
We may email you about nineyards products and services. You can opt out at any time using the unsubscribe link in our emails or by writing to info@nineyards.pt. Opting out of marketing does not stop service emails about a request you have in progress.
Who we share it with
We do not sell your data, and we do not share your leads or lead information with other users or third parties for their commercial purposes.
We use a small set of trusted providers to run the service, who process data only on our instructions:
- Hosting and database (our platform infrastructure).
- Email delivery (to send notifications and your files).
- AI processing (to draft and reason over your brand inputs during the interview).
- Analytics (to measure site usage, see Cookies).
We may also disclose data where the law requires it, or to protect our rights.
How long we keep it
We keep your data while your engagement is active and for as long as we have a legitimate reason to. As part of routine housekeeping, we remove contacts that have had no activity for more than six months, unless we are required to keep them longer (for example, to meet a legal or accounting obligation).
Your rights
Under the GDPR you can ask us to access, correct, delete, restrict, or port your data, and you can object to processing based on our legitimate interests. To exercise any of these, email info@nineyards.pt.
You also have the right to lodge a complaint with the Portuguese data protection authority, the Comissão Nacional de Proteção de Dados (CNPD).
Cookies
We use a small number of cookies. Essential cookies are needed to run the site and cannot be turned off. Non-essential (analytics) cookies can be accepted or declined using the banner shown on your first visit.

When you accept cookies, we record the time of your opt-in and store it alongside any request you submit, as a record of your consent.
International transfers
Some of our providers may process data outside the European Economic Area. Where they do, we rely on appropriate safeguards (such as the European Commission's standard contractual clauses).

We may update this policy from time to time. When we do, we will change the "last updated" date above.
